How to select the right tools successfully

Selecting suppliers from an Excel list, requesting an offer via e-mail, and finally faxing them the order seems like purchasing in a time long past. In fact, it is really not so long ago that this was how operational purchasing was carried out. Meanwhile, digital tools often support the processing of purchasing electronically. But they often cover only one part of the procurement process. Closing the existing gaps is now increasingly important for two reasons. Firstly, in our VUCA world we are more and more dependent on acting at short notice. And, secondly, because the young purchasers of generation Z do not want to forego digital technologies. Companies should thus urgently upgrade with e-procurement. For this purpose, there is no lack of solutions. Much rather, the opposite is the case. The art is finding the right tool in face of the huge choice.

This succeeds only with the systematic evaluation of the available solutions: from the definition of the specialist and technological requirements and the critical consideration of the individual solutions, to the discussion with providers about how any gaps between requirements and tools can be bridged. For the assessment of e-procurement solutions, we have developed a model that takes four dimensions into consideration: How does the software support the process? How is the software integrated into the existing system landscape? How user-friendly is the software? What costs are incurred and how is maintenance organized? The individual dimensions are evaluated and weighted in accordance with the relevance for the company. This produces an overall score.

In our MHPDeepDive "eProcurement for Generation Z", we will present our evaluation model for e-procurement solutions. In addition, we will use the example of SAP Ariba to familiarize you with the successful introduction of a cloud-based tool.
